Access Redwood City Public Records

Redwood City public records are divided among municipal departments, San Mateo County offices, the Superior Court, and California agencies. To search Redwood City public records well, first identify the custodian and then choose the matching online index, counter, mail request, or formal records request. Property documents and court cases often begin with a public index, while vital certificates and voter data follow stricter access rules. City permits, council files, maps, and tax data use still other systems. The right route depends on whether the goal is to inspect an index, view a file, obtain an ordinary copy, or order a certified record.

Redwood City Public Record Coverage

Public access depends on both the record and its keeper. Some Redwood City public records can be searched online at no cost, but the result may be only an index. Other records require a copy application, identity check, counter visit, or focused request to the city. The table separates discovery from document access.

Sealed cases, juvenile files, confidential voter records, protected addresses, confidential marriage records, driver's license data, and some police or investigative files remain restricted. A public index never overrides a sealing order or a statutory privacy rule.

RecorderWorks Public Record Index

The San Mateo County Recorder makes recorded property documents public, but it separates online discovery from image access. RecorderWorks supplies a grantor-grantee index for documents recorded since 1985. Images are withheld online for privacy, so a useful result is the start of a copy request rather than the document itself.

Search results can provide party names, document type, recording date, recording number, and page count. Documents before 1985 need a document number or recording date in the online system. Office terminals, index books, maps, old deeds, and tax rolls provide the fallback when those keys are unknown.

Ordering Redwood City Recorded Copies

Use the index to collect the party names, record type, recorded date, recording number, and page count. A mail request goes to San Mateo County Assessor Clerk-Recorder, Attention Customer Service Desk, 555 County Center, 1st Floor, Redwood City, CA 94063. Include a self-addressed stamped envelope and a preprinted United States bank check, money order, or cashier's check payable to San Mateo County Clerk-Recorder.

A regular recorded copy costs $5 for the first page of each document and $1 for each added page of that document. Certification adds $5 to the regular copy fee. A conformed copy costs $10 when the requester supplies the duplicate and the recorder adds recording details. These official rates help a recipient judge an inflated private deed-copy solicitation.

Copy first, certification when needed. An ordinary copy can answer many personal research questions. Pay the added certification fee only when an authenticated record is required.

Redwood City Court Record Access

The MIDX court index searches appeals, civil, criminal, family law, probate, and small claims cases by case number, person, business, or a filing-date range. The result is index information such as case number, party role, case name, and filing date. Odyssey can provide more public case information, while the physical file remains with the court.

Records Management at the Hall of Justice and Records, 400 County Center, handles public file viewing. The counter limits a visitor to five files at one time. Files stored off site require an in-person request and $10 prepayment, may take up to 72 hours to arrive, and are held for five working days. Criminal cases filed before 1993 require contact with the Criminal Court Clerk.

The court's viewing-rules page shows the counter process and restrictions.

The stated limits make a case number and advance appointment valuable before a Redwood City courthouse visit.

Redwood City Record Custodian Offices

The record's subject determines the correct counter. The Recorder handles recorded property documents and county vital services. The court clerk controls case files. Redwood City's Clerk manages municipal archives and requests. Sending a request to the office that created or keeps the record saves referral time.

Property maps are also available from the Recorder Division, and Redwood City building files start with Building and Code Enforcement before copy requests move into the city PRA process.

City Archives and Redwood City Requests

Many municipal records can be found before a formal request. The City Clerk's Laserfiche document archive is the browse and search route for ordinances, resolutions, agendas, minutes, meeting packets, staff reports, and other city actions. These records can name applicants, property owners, consultants, petitioners, and appointed members.

For a record not already posted, Redwood City uses NextRequest. The portal accepts new requests and exposes prior requests. Electronic records are preferred. The city may charge for physical duplication, including photocopies or media. A request for building plans, permit copies, or code documents should also use the PRA route when the portal record is incomplete.

Note: Search Laserfiche and prior NextRequest entries first, because an existing city file can be faster than opening a duplicate request.

Redwood City Permit Public Records

The city splits permit and planning searches inside eTRAKiT. Permit searches accept permit number, address, type, status, site APN, application or milestone dates, and description. Planning projects add project type, closed date, and planner. Public results can include applicants, contractors, addresses, status, fees, inspections, chronology, conditions, and reviews.

The official planning-project search displays those project filters.

The APN and address fields help connect a planning file to county maps and recorded documents without treating a project search as a person-only directory.

Redwood City adopted the 2025 California Building Standards Code with local amendments effective January 1, 2026. That date helps explain why newer permit files cite a different code cycle than earlier records.

Redwood City Property Map Records

San Mateo County property sources are address and parcel driven. The Property Maps Portal provides land layers and scanned assessor, subdivision, and parcel maps. The secured tax search uses an address or parcel number. County GIS describes an upgraded Property Information Portal for property information, tax assessment data, and parcel documents kept by Public Works and the Assessor.

Official sources did not verify a complete owner-name search in the assessor interface. Use an address or APN, then carry the parcel number into RecorderWorks. Online map downloads are free. Official copies and print services are available from the Recorder Division at 555 County Center.

The county GIS overview identifies the property information resources.

The county page is the best starting point when an address must be converted into a parcel and map record before a deed order.

California Vital Record Copy Classes

Birth, death, and marriage records for San Mateo County events can be ordered through the County Clerk-Recorder. The California Department of Public Health supplies statewide applications. California Health and Safety Code section 103526 uses copy classes rather than a blanket rule that every certificate becomes open after a fixed period.

An authorized certified copy requires an eligible requester and a sworn, notarized, or accepted electronic identity process. An informational certified copy may be available for birth, death, and nonconfidential marriage records, but it bears a statement that it cannot establish identity. Confidential marriage copies are limited to the parties or another legally authorized requester. Divorce material may involve both a CDPH form and a San Mateo Superior Court family-law file.

Custodian
The agency or office responsible for keeping the record.
Index
A list of record facts used to locate the underlying file.
Certified copy
An office-authenticated reproduction of a record.
Exemption
A legal basis for withholding all or part of an otherwise requested record.

Redwood City Custody Record Limits

The San Mateo County Sheriff's Corrections Division links its inmate locator and bail resources for current county custody. The California Department of Corrections and Rehabilitation has a separate locator for state prison custody. Federal custody belongs to the Bureau of Prisons system. A person absent from one system may be in another, released, transferred, or outside its scope.

California's Megan's Law website publishes only offender information that Penal Code section 290.46 allows. The database is updated daily by law enforcement, but not every registrant is subject to public disclosure, and unrelated offenses are not displayed. Police reports can also contain victim, investigation, and privacy restrictions. Use the police department's record procedure or the city request portal, depending on the record.

Request Redwood City Public Records

The California Public Records Act is codified in Government Code division 10, sections 7920.000 through 7931.000. Section 7922.535 requires an agency to decide within 10 calendar days whether a request seeks disclosable records in its possession and to give the reasons for that decision. Written notice may extend the determination by up to 14 days for unusual circumstances. An amendment effective January 1, 2026, includes updated cyberattack and emergency circumstances.

A determination deadline is not always the delivery date. If disclosable records exist, the agency should give an estimated availability date. Focus the request on identifiable records and ask for electronic copies when practical.

Unusual circumstances can include records stored at another facility, a large volume that must be searched, consultation with another agency or unit, or the need to compile data. The 2026 language also addresses certain cyberattack and emergency limits. The agency must give written notice when it relies on an extension. These rules concern its initial disclosure decision, so a large production may still arrive later on the estimate supplied by the custodian.

  1. Name the office most likely to hold the Redwood City record.
  2. Check its archive or index and save any case, parcel, permit, or document number.
  3. Describe the record type, subject, date range, and preferred electronic format.
  4. Submit through NextRequest, the keeper's form, mail, or the designated counter.
  5. Review the response, fee estimate, exemptions, and estimated production date. Narrow unclear terms if needed.

Lawful personal use. Open records support family, property, consumer-safety, and civic research. Never use public records to stalk, harass, threaten, or harm a person.

Courts follow their own file-access rules rather than the city's NextRequest process. Vital records also use certificate applications and eligibility rules, not a general CPRA request. Choosing the correct channel is part of a complete request.
